Job Summary:

The Procurement Assistant will support procurement operations by raising purchase orders, maintaining procurement records, and assisting in contractor selection through handling procurement specifications and evaluating tender bids.

Reports to: Procurement Officer

Key Duties and Responsibilities:

  • Prepare purchase requisitions and issue purchase orders and contracts in line with PPDA guidelines.
  • Prepare submissions for Contracts Committee meetings.
  • Receive and open bids.
  • Issue bidding documents to shortlisted bidders.
  • Draft supplier contracts and Local Purchase Orders (LPOs).
  • Issue LPOs and signed contracts to providers.
  • Prepare Bid Evaluation Reports (BEB) for approval by the Accounting Officer.
  • Issue BEBs to providers.
  • Prepare payment documents for submission to the Directorate of Finance and Accounts.
  • Update weekly data entries of procurement activities (ongoing and completed) in the procurement status report.
  • Handle documentation for micro procurements.
  • Follow up with suppliers to ensure timely delivery of goods and services.
  • Maintain an updated and well-organized filing system for procurement files.
  • Draft weekly, monthly, and quarterly procurement reports.
  • Enter procurement activities into the Government Procurement Portal (GPP).

Qualifications, Skills, and Experience:

Qualifications:

  • Bachelor’s degree in Procurement and Supply Chain Management or Procurement and Logistics Management from a recognized institution.

Experience:

  • Minimum of 3 years of experience as a Stores Assistant in a public or reputable private organization.

Competencies:

  • Records and information management.
  • Supply chain management.
  • Effective communication skills.
  • Ethics and integrity.
  • Proficiency in information technology.
