Job Description:
PATH Uganda is seeking candidates for the position of Facilities and Administration Assistant. The Facilities and Administration Assistant will primarily be responsible for the day-to-day facilities and administrative support roles of the office and manage the front office desk of the Country office.
Responsibilities:
- Work with the office landlord to ensure all tenancy-related transactions, such as the renewal of tenancy agreements, registration, and processing of tenancy bills, are executed in a timely manner, under the guidance of the Senior Administration Officer.
- Supervise the assignment of the office cleaning firm and ensure that office hygiene meets the basic minimum acceptable standards.
- Manage the front desk of the country office, ensuring office guests are warmly welcomed and guided to the appropriate office suites.
- Initiate and follow through on the procurement of all facilities and administrative supplies and consumables for the office.
- Register incoming invoices from vendors and corresponding delivery notes (DNs) before preparing goods received notes (GRNs) for each delivery.
- Manage the custody and record-keeping of the office and general supplies storage facility, updating all appropriate records.
- Periodically refill office safety and first aid kits.
- Monitor the supply and proper utilization of office consumables such as water and kitchen supplies, ensuring these are used appropriately without waste or abuse.
Minimum Requirements:
- A University degree in Administration, Management, Social Sciences, Community Studies, or a related field from a recognized institution.
- A minimum of 3 years of progressive experience in a similar position.
- Strong administrative, communication, and written and verbal skills.
- Excellent interpersonal skills with the demonstrated ability to interact professionally in an environment with diverse stakeholders.
- Demonstrated competence in assessing priorities and managing a variety of assignments in a time-sensitive, fast-paced work environment, with the ability to deliver required outputs within the required timelines and with minimal supervision.
- Ability to work independently, take reasonable initiatives, and learn complex procedures within a framework of limited timelines.
- Fluency in English, as it is the main medium of office communication.
