Job Summary:

The Eligible Family Member (EFM) – Office Management Assistant will serve as a special assistant to the Associate Director for Management and Operations (ADMO). The role provides a variety of complex management, operations, and project coordination support. This position is crucial for the efficiency and effectiveness of the Office of the Director (OD) and the ADMO.

Key Responsibilities:

  • Assist with the regular and ongoing responsibilities of the Office of the Director (OD) and the ADMO.
  • Coordinate special projects, such as FSN Appreciation Day, awards programs, workplace efficiency initiatives, professional development programs, and other projects.
  • Analyze workflows and processes to identify areas for improvement, draft standard operating procedures (SOPs), and implement changes.
  • Provide HR support, including documenting and implementing new processes.

Qualifications and Evaluations:

Education:

  • Completion of post-secondary education is required.

Experience:

  • Minimum of 3 years of administrative or clerical experience in project coordination or project management is required.

Job Knowledge:

  • Familiarity with basic principles of organization, coordination, and project management.
  • Proficiency with cloud-based collaboration tools.

Language Requirement:

  • English Level 4 – Fluent (speaking, reading, writing), with the potential for testing to assess proficiency.

Skills and Abilities:

  • Excellent interpersonal and communication skills.
  • Proficiency in writing, proofreading, editing, presenting, and public speaking.
  • Intermediate proficiency with Microsoft tools, including SharePoint, Word, Excel, Teams, Outlook, PowerPoint, OneDrive, and other collaboration tools.
  • Ability to handle multiple tasks with high accuracy and attention to detail.
  • Capacity to cope with a variety of personalities, competing requests, and tight deadlines in a high-pressure environment.
  • Strong judgment and discretion when dealing with sensitive HR or staffing information.

Work Hours:

8 hours per day
