Job Summary:
The Administrative and Accounts Officer will be based at the main office in Jinja City, responsible for administrative tasks and supporting the Accountant and Finance Manager. This role involves overseeing administrative functions, supporting financial processes, and reporting to the Learning Lead and Director.
Key Responsibilities:
Administrative Roles:
- Manage the organization’s calendar, including scheduling appointments and logistics for meetings and events.
- Handle administrative requests and queries from management, including arrangements for new staff.
- Act as a liaison within the organization and with external stakeholders as needed.
- Oversee support staff and coordinate staff meetings at the national office.
- Supervise office maintenance, repairs, and general cleanliness to ensure a conducive work environment.
- Maintain proper filing and storage of documents, both electronic and physical, and manage office supplies.
- Draft letters and other documents on behalf of the organization.
- Assist in coordinating multimedia content production and website updates.
- Book travel arrangements for the management team.
Financial Roles:
- Ensure all received and disbursed funds are correctly recorded in the accounting system.
- Manage payroll functions and ensure disbursements are fully accounted for.
- Review accounting transactions for accuracy and assist in preparing statutory returns like PAYE, LST, and NSSF.
- Maintain and reconcile petty cash and participate in the preparation of financial statements, audits, and reports.
- Provide other administrative and operational support as required.

Skills and Qualifications:
- Bachelor’s degree with 2+ years of administrative assistance experience or an equivalent combination of education and experience.
- Excellent communication skills, both written and oral.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and MS Outlook.
- Strong organizational and time management skills with attention to detail.
- Ability to handle multiple tasks simultaneously and meet deadlines.
- Initiative, self-motivation, and ability to work with minimal supervision.
- Experience with accounting software is an added advantage.
- Strong teamwork and flexibility under pressure.
