Data Clerks x2 Lugazi Diocese

The Data Clerk wil play a pivotal role in ensuring accurate and efficient data management and reporting within the health facility setting This postion involves collaborating with healthcare professionals and administrative staff to maintain precise electronic and paper-based records, support data-driven decision-making, and contribute to the overall efficiency and quality of patient care services.

Key Duties and Responsibilities:
Data Entry and Maintenance:
• Accurately enter patient information, medical records, test results, and treatment details into the Heath Facility’s electronic information systems

Maintain organized and up-to-date paper-based records as needed.
• Collaborate with medical staff to ensure entry, completeness and accuracy of data in the relevant HMIS and other data capture tools
• Data Verification and Cleaning: Regularly review and verify accuracy and completeness of data entered in the paper and electronic data collection tools.
• Identity and rectify discrepancies or errors in the data, collaborating with relevant departments as necessary.
• Provide weekly data extracts from the electronic medical systems and register entry gaps to guide these level data day exercises.
• Take lead in the routine data cleaning processes to enhance data quality Participate in data quality assessments (DOAS) and COI activites

Reporting and Documentation
• Take lead in generating accurate and timely reports for internal and external stakeholders. Prepare summaries, dashboards, and charts for data-driven decision-making.
• Ensure timely and reliable submission of required reports in MOH, PEPFAR and Program supported platforms like, SURGE, DHIS2, PIRS, trackers etc. Track tools availability, versions in use and alert the relevant program leads from timely replenishment.
• Provide on job training and support to Improve tool usage
• Provide performance dashboards, plotter charts to support Implementation of data driven strategies at health facilities.

Electronic Medical Record (EMR) Management:
• Utilize the Health Facility’s EMR system for data entry, retrieval, and reporting.
• Collaborate with healthcare workers to ensure EMR data accurately reflects patient care and treatment plans.
• Support the implementation of EMR best practices and data security protocols
• Serve as the go to point for simple trouble shooting or escalation of system glitches to the program HIS teams

Data Integrity and Confidentiality:
• Maintain the highest level of patient cata confidentiality and adhere to data protection regulations.
• Safeguard patient records and information from unauthorized access
• Follow established data backup procedures and security protocols for all hard and electronic records.
• Contribute to the development and enforcement of data security measures. Collaboration and Communication: Coordinate with healthcare workers, HIV program IP staff, and IT personnel to address data-related needs and challenges.
• Participate in section meetings and discussions to provide input on data management processes.

Required Education, Knowledge and Experience:
• A minimum of a Diploma in Information and Communication Technology. Statistics, Medical Records or any other related field of study

Physical Ability:
Ability to reside in Luwero Supervisory Controls: The individual will serve under the immediate supervision of the Social Economic Strengthening Officer

Contract Tenure: 1 year with a possibility of extension subject to availability of funding.
