Job Title: Front Desk/Receptionist
Location: Kampala
Reports to: Regional Manager
Job Description:
The job holder will be the first point of contact for all our visitors and clients at head office.
He/She will facilitate effective and efficient administrative front desk support, ensuring smooth operations and professional conduct with highest quality standards.
Duties and Responsibilities
• Ensures the reception is clean, tidy and presentable at all times.
• Greet clients and visitors with a positive, helpful attitude and a professional manner.
• Handle incoming calls promptly and courteously with good customer care and routing calls as necessary.
• Maintain office security by following safety procedures and controlling access via the reception desk.
• Schedule appointments and maintain appointment diary either manually or electronically.
• Organize meetings, meeting rooms and training rooms.
• Receive, register, sort and distribute daily mail/deliveries/documents.
• Keep inventory of all office supplies and place orders for replenishment whenever needed.
• Provides cover, on prior arrangements, for other office support during their official absence.
• Perform other clerical receptionist duties as may be required from time to time.
• Perform ad-hoc administrative duties.
Qualifications, Skills and Experience Required:
• Bachelor’s degree in a relevant field such as Office Management, Secretarial Studies, Business Management or any related discipline.
• 2 years’ experience in a similar role in a hospitality industry/sector is preferred.
• Consistent, professional dress, and manner.
• Strong organization and problem solving skills, with ability to maintain and keep track of tasks.
• Excellent written and verbal communication skills.
• Competency in Microsoft Office applications.
• Good time management skills.
• Experience with administrative and clerical procedures.
• Customer Service.
