Job Summary: The Accounts Administrator plays crucially role in the financial health of the organization by accurate and timely recording of financial transactions. This position involves a combination of administrative tasks and basic accounting duties.
Key Duties and Responsibilities:
Accounts
- Prepares payment required, prepare payments to suppliers and staff.
- Keep records of all cash movements in systems.
- Reconcile books and provide timely weekly – monthly reporting to Kampala finance team.
- Ensures internal controls are in place and followed.
- Safe custody for petty cash at hand
- Provide support to management to prepare annual and activities budgets.
- Provide support to management to monitor monthly expenditures vs budgets and update forecasts.
- Ensures the appropriate filling and archiving of all invoices, bills, vouchers in an organized manner in the office.
- Performs other routine accounting and related other duties and tasks as directed.
- Making/posting of daily receipts, payments/expenses in the accounting system.
Operations
- Keeps records of and keys in daily coffee and evacuations in company’s data records system.
- Keeps records of and keys in daily production activities reports in company’s data records system.
- Participates in physical stock inventory control and reporting in company’s system.
- Ensures the appropriate filling and archiving of operations printed documents, forms, vouchers, records etc. in an organized manner in the office.
- Liaise with Touton Kampala office for the preparation of administrative documents, collection of signatures or approvals, general administrative tasks etc.
Sustainability
- Key in Touton sustainability projects, entering data into relevant company software(s) and databases, performs regular data quality checks and necessary takes actions to ensure that entered data is accurate and comprehensive.
- Ensures the appropriate filing and archiving of all related projects printed documents, forms, vouchers, records etc. in an organized manner in the office.
- Supports the sustainable sourcing manager in conducting data analysis and extracting relevant learnings and information in order to inform management decision making and project implementation strategy.
- Supports in preparing weekly, monthly and quarterly projects update reports.
Qualifications, Skills and Experience:
- Minimum Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Proven experience in an accounting or finance role.
- Proficiency in any of accounting software (e.g., TALLY, SAGE) and MS Office, especially Excel, Powerpoint.
- Excellent organizational and multitasking abilities.
- Ability to adapt to changing priorities and handle various tasks.
- Detail-oriented with a focus on accuracy and completeness in tasks.
- Initiative-driven with a proactive approach to problem-solving.
- Collaborative mindset with the ability to work effectively in a team.
- Ability to handle sensitive information with discretion.
- Strong written and verbal communication skills.
- Flexible – willing to work upcountry branches
