The Job involves: –
To oversee the documentation and operations with different regulatory authorities as per the responsibilities outlined below with the department’s standards operational procedures;
v Follow up and coordinate VAT deferments, duty remissions.
v Follow up on the online appointments for FF’s and CHA’s, when required.
v Handle and apply for different permits for imports or exports from respective authorities like MAAIF, MOFPED, NDA, DGSM, UPF, UCC, MODF etc.
v Motor vehicle registration and amendment of logbooks.
v Lodge Insurance claims to different parties and claim (to agent, supplier, transporter, freight forwarders and insurance company)
v Ensure Insurance declarations for Group Units are applied for Marine Insurance Certificates.
v Analyze duties and taxes on the worksheets and approve, if all comply by our SOP’s.
v Invite surveyors in case of damages or accident on imported items and also generation of accident reports for guidance.
v Lodge Tax claims with URA or any other relevant organization within the stipulated time frames by Law for shipments involved in accidents, lost or damaged etc.
v Follow up on re-registration of old company vehicles when requested by workshop or any group units.
v Coordinate exports and imports clearance in liaison with concerned regulatory Agencies (such as URA, UNBS, NDA, MAAIF, MOFPED, MOWE etc.).
v Follow up with oversees teams / FFs for timely shipment of goods and respective commercial documents before vessel arrival at Port.
v Work in liaison with the clearing agencies at Port and local boarder for timely and hassle-free delivery of goods.
v Ensure the Customs Factory Bonded Warehouse and the related activities like truck arrivals, register T1’s, maintain Bond register are updated regularly
v Handle BWIMS operations for the customs factory bonded warehouse.
v Prepare and submit periodic reports on imports and exports related activities to management.
v Ensure trucks are offloaded on time to avoid truck detention and container demurrage.
v Ensure Insurance claims are closed before the next financial period/year.
v Ensure taxes / duty is paid as per the customs regulations.
v Ensure timely submission of quarterly reports on duty remission materials to Mezzanine URA Audit section.
v Ensure timely submission of the factory bonded license documentation for the next operational period/year for renewal.
v Ensure the factory bonded warehouse meets the customs warehousing requirements.
v Ensure timely inspection and renewal of the factory customs bonded warehouse license annually.
v Generate monthly reports for both imports and exports shipments by CPD Logistics section.
v Coordinate all the bonded warehouse operations for the Madhvani Group Units shipments.
v Follow up on exemptions from the Uganda Authorities.
v Maintain and manage BWMIS for our Group shipments.
v Maintain the Import documents register for expected shipments.
v Follow up on arrival of goods for final customs clearance with our KPI’s.
v Supervise Verification of our group shipments as per the customs procedures.
v Follow up and prepare deliveries (cargo released at ICD’S) when requested.
v Re-check and approve worksheets for import and export declarations.
v Follow up on import and export entries and answer queries, when required.
v Receive and register the original shipping documents.
v Collect customs entries for VAT Returns.
v Follow up and maintain GPA account while sharing the GPA statements.
v Check and approve Bill of Lading (BOL) and Airway Bills (AWB) for our group shipments.
v Generate and Report on the nomination status with a tracker for post nomination by FF’s/CHA’s.
v Float out nomination RFQs and compile comparison maps for further negotiations.
v Follow up on BOL/AWB post FF nominations.
v Track cargo movement daily and share reports.
v Ensure FF/CHA invoices payments are processed as per our agreed terms and conditions.
v Daily update of the group shipments arrivals at the different ICD’s.
v Process the EAC – Certificate of Origin for our group shipments.
v To coordinate and manage our group exports processes.
v Ensure that the SAP information and data is entered correctly.
v Ensure no outstanding entries and releases by different regulatory authorities
v Follow up on outstanding exit reports
v Timely dispatch of original shipping documents to the clearing agents and freight forwarders to the shipping lines.
v Maintain good rapport with stakeholders i.e., URA, UNBS, MAAIF among others.
v Maintain control and ensure regulations to all import and export processes and monitor work according to corporate and local policies and evaluate all new custom requirements and supervise everyday operations according to standard procedures.
v Coordinate with different units to establish an efficient export or import classification and prepare tariff schedule.
v Provide an efficient interface with freight forwarders and administer all freight logistics and provide optimal level of customer services and resolve all shipment issues.
v Perform all record keeping processes and maintain records of all entries for a period not less than seven years.
v Evaluate all items for import and ensure accuracy in all values and collaborate with custom agents to provide clearance of all imports and maintain required documents.
v Perform audit on all import and export files on regular basis.
v Monitor and provide response to all custom inquiries and requests and obtain required product certifications for all export and import products for custom clearance.
v Collaborate with various departments and obtain all certification documents and ensure compliance to all import and export policies and perform regular audits on all agent activities.
v Track incoming shipments and ensure on-timely delivery.
v Coordinate all the bonded warehouse operations for the Madhvani Group Units shipments.
v Perform any other duties/roles assigned by the Logistics Manager or Management.
Preferred Experience and Qualifications;
v Must have a Bachelor’s Degree in Business Administration, or Degree in Logistics and Transport Management, or Degree in Procurement and Logistics, or any similar related field of study.
v Experience in the similar position of more than 05 years and above.
v Must have a certificate in the URA training in East African Customs Freight Forwarding Practicing Certificate Course (EACFFPC).
v Must have a Certificate in Computer applications and familiar with usage of applications such as MS Word, MS Excel, MS Outlook, Emailing and SAP as an added advantage.
v Must be well knowledgeable with the EACCMA.
v Must be able to declare and prepare worksheets for Customs purposes.
v Must be able to classify goods using the EAC-Common External Tariff.
v Must have good interpersonal skills and a team player.
v Required Age range from 25 to 40 years.
v Salary ranges from Ugx. 1,500,000/= to Ugx. 2,000,000/= (Depending on Qualifications and Experience)

v Must be willing to work in Jinja City.
v Must be willing to work extra-hours.
v Must be able to exhibit professionalism and integrity in his or her work.
v Must be able to work for more than 10 years in the position.
v Must be able to work with minimum supervision
