Administrator Cycling out of Poverty (CooP-Africa)

For our office in Jinja Uganda, we are currently looking to recruit a trustworthy and detailed-oriented person, to fill the role of Administrator. The Administrator is responsible for ensuring all administration is kept up to date. The ideal candidate has 3 years experience in a similar position, with proven experience in stock and asset management, computer management and working with manuals and procedures. In addition, the ideal candidate is able to ride a bicycle or has affinity with cycling, is comfortable in Jinja and surrounding areas. This job demands dedication, eye for detail and passion for perfectionism. We are looking for a person who has experience in: – Record keeping; – Administration; – Office Management

Record keeping
• Manage office petty cash
• Manage cash during events
• Process (and assist other staff in preparing) requisitions and advance liquidations following the signatory trail
• Reconcile daily, monthly and yearly transactions
• Assist in preparing monthly, quarterly and annual financial reports
• Manage records (including receipt book records) and receipts
Administration
• Keep track of stock and assets: monthly, quarterly and annual recording as per policy
• Maintain all registers
• Ensuring photo archive is up to date
• Prepare minutes of (staff) meetings
• Manage bookings
Office management
• Ensure computers are up and running, software is up to date, emails are active, user accounts are working
• Ensure drinking water is available always, lunch + dog food is available and recorded correctly
• Ensure office stationary is available
• Ensure utilities are paid timely
• Check if office and compound are neat and organised
• Check if phones are on and working
• Ensuring solar system is maintained according to policy
• Ensuring calendars are up to date
• Assist guests of Bikeventures accommodation and bike rental clients

The applicant must be/have:
• Diploma or Bachelor degree in accounting or finance
• A minimum of three years of paid experience in administration
A proven ability maintain stock and inventory records
• Excellent eye for detail, perfect accuracy and perfect and consistent in spelling and layout
• Excellent interpersonal, verbal and written communications skills
• Experience with Quickbooks is an advantage
• Proficiency with office computer equipment and software
• A passion for cycling and conservation; must be able to ride a bicycle
