Job Summary: The Officer, Finance will ensure the integrity of accounting information by recording, verifying, consolidating, and booking transactions and proper serialization and safe filing of documents. The position has access to organization’s confidential information that need to be protected by adhering to organization’s value by keeping information confidential. The Officer, Finance, will act as a resource and/or coordinate resources between Field and country-based programs, and perform other duties as defined by the Country finance lead/leadership.
Key Duties and Responsibilities:
Staff advance accountability:
- Monitoring advance usage and return period in relation to the activity timeline
- Ensuring timely review and submission of staff advance accountabilities.
- Ensuring completeness of staff advance accountabilities.
- Timely sharing of staff advances account statements and reports of cleared cases.
- Support in capacity building of the field staff.
Petty Cash Management:
- Verification of petty cash accountabilities and expenditure.
- Track and monitor on the cost effective usage of petty cash.
- Ensuring safe custody of petty cash.
- Submission of timely weekly cash counts and requisitions for petty cash replenishment.
Asset & Fuel Management:
- Ensuring safe custody and management of fleet and other assets
- Maintain an up-to-date asset and inventory register for the office location.
- Providing timely monthly recommendations and reports for assets and inventory.
- Support in fuel verification and monitoring of the fleet.
Financial Management:
- Verification of source documents before payments are made.
- Support field teams in monitoring utilization of disbursed funds to staff.
- Support in ensuring compliance to policies and procedures during activity implementation and any other funds expenses
- Support in monitoring and tracking of activity budget limit adherence and utilization.
- Support in the reviews of the field activity plans and budgets.
Team Support:
- Will regularly communicate with Finance and program leads to identify capacity needs.
- Represent the Finance team in various program meetings.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in Finance, Accounting or a related field.
- Ongoing professional accounting certification will be an added advantage.
- One to two years of work experience in a position with similar responsibilities.
- Strategic and tactical critical thinker with good analytical and problem solving skills.
- Confident decision maker who can communicate directions and solutions clearly to both technical and non-technical staff.
- Understanding of the business role (operations and Logistics) function within the programs and organization, and to set objectives based on that.
- Metrics driven performance philosophy.
- Proficiency with accounting systems, Microsoft applications, Skype.
- Proficient in spoken and written English & communication skills.
