Operations Officer Palladium

Primary Duties and Responsibilities:
The focus of the project is to implement a Climate Smart Jobs (CSJ) program, focusing on Northern Uganda as part of the UK’s International Climate Finance commitment. CSJ Component One is a part of the CSJ program, and its objective is to support large-scale job creation in the agri-business sector, aiming to improve productivity and/or incomes in agriculture. The program will seek Innovative, technology-based solutions to address issues faced by agriculture in Northern Uganda, promoting sustainable land management practices and climate adaptation, and job opportunities. The program is funded by the UK’s International Climate Fund and is built on the UK-funded Northern Uganda – Transforming the Economy through Climate Smart Agriculture (NU-TEC) program. CSJ Component One consists of two components: Component 1A, which is a market systems development intervention, and Component 1B, which will run a challenge fund called the “Uganda Climate Innovation Fund”.

PURPOSE
The specific purpose of the position is to support the implementation of effective and efficient operational, financial and compliance activities to deliver Climate Smart Jobs – Market Development in accordance with contractual obligations, company policies, Group Standard Operating Procedures (SOPs) and Guidelines, and client rules and regulations. The team is responsible under the leadership of Project Director and management of the Team Leader.

SPECIFIC RESPONSIBILITIES
Administration
• As a receptionist ensure that all office visitors are courteously attended to.
• Ensure office cleanliness and ambiance all the time.
• Keep an up-to-date suppliers list to ensure that procurement of office assets, services and supplies are procured from the approved suppliers.
• Assist with procurement of project assets, services and supplies following the Standard Operating Procedures (SOPs)
• Update the Inventory List with project assets as soon as assets are procured.
• Reserve accommodation for staff/visitors travelling to the field.
• Prepare weekly drivers’ schedules to ensure vehicles are allocated to all staff going to the field.
• Filing of documents electronically; and in hard copies if necessary and ensuring that they are easily retrievable when required.

Financial Management
• Prepare Payment Approval Forms (PAFs) for the approval of the Team Leader/ Deputy Team Leader ensuring all approved documents – invoices, LPOs and other supporting documents are attached.
• Be responsible for petty cash ensuring that only approved payments are made.

Human Resource Management and Recruitment
• Prepare an induction schedule for the new staff and ensure they are inducted on general issues which include but not limited to timesheets, Internet, and Email use.
• Support the recruitment of staff by ensuring that they provide their CVs, education certificates and any other documents to be filed on share point.
• Ensure new staff/consultants are availed with internet and airtime to carry on their work.

Required Qualifications:
• A degree in Business Administration or its equivalent with demonstrated experience working with Projects or NGOs.
