Job Summary: The HR Administrator will manage the company’s leave, welfare and health and safety function in line with the HR policy, and the Occupational safety and health guidelines.
Key Duties and Responsibilities:
- Maintain and monitor the annual leave management System on a daily, weekly and monthly basis and produce related statistics for management decision.
- Track all leave types i.e. deferred, sick, maternity, paternity, study, unpaid and compassionate leave at all times and ensure that all leave is managed and approved in line with the HR policy.
- Support in opening personal staff file for new staff, assign new staff identity numbers (ID) numbers and ensure proper documentation on staff files as per HR policy. Ensure a file is also opened at the branch as appropriate.
- Draft letters and other communication as maybe required from time to time as assigned by the supervisor.
- Act as a routine liaison between the Bank staff and medical insurance service providers and coordinate to ensure that any administrative glitches are promptly resolved to the mutual satisfaction of FTB staff and the medical insurance service providers.
- Engage staff and promptly respond to benefits and office hygiene related queries and complaints.
- Act as the HR department Risk Champion and responsible for updating and monitoring the department’s risk register.
- Support staff on boarding and induction processes including but not limited to registration on the company medical and insurance schemes and other applicable welfare facilities.
- Ensure compliance with the Bank’s policy on insurance by providing Insurance service providers with all necessary staff details and following through to ensure that relevant insurance covers have been registered.
- Follow up on sick and / or hospitalized staff to ensure that they receive medical attention in line with the medical insurance policy and provide frequent updates to your supervisor of their status.
- Prepare user rights forms to enable or disable staff on leave, transfer, exit from the IT system as per effective dates.
- Ensure clean, secure work environment, and availability of well-stocked first aid boxes. Ensure that one staff at each service unit is trained in how to administer first aid.
- Ensure the effective implementation of the medical scheme for all staff in line with the medical contract terms.
- Prepare and submit the time and attendance report for head office and branches, and track absenteeism.
- Liaise with administration department to ensure clean, secure work environment for all Branches and Head Office.
- Process the company contribution towards all staff events, i.e. birthdays, deaths, weddings, hospitalization etc.
- Maintain the departmental phone and log all issues outstanding.
- Coordinate the Staff exit Management process through Issuance of clearance forms and exit interview forms and ensure they are completed in line with the separation policy.
- File all communications accordingly and ensure safe custody of file
- Participate in all employee relationship programs for the bank.
- Collect and compile all grievances submitted by staff through employee champions and other channels as per grievance policy.
Qualifications, Skills and Experience:
- The applicant must hold a Degree in Human Resources Management, or other related social sciences.
