Job Summary: The Office Assistant will carry out a broad range of office support services to ensure a fully functioning office environment and support to the teams. This position reports to the Human Resources and Administration Manager.
Key Duties and Responsibilities:
- Responsible for timely opening and closing of office premises while always ensuring safety and security of premises.
- Ensure support to identify key areas of risks and report for repair as required. This role will ensure all electrical appliances are switched off when the office doors closed. Responsible for good office ambiance by ensuring supervision of overall cleanliness of the office, amenities, and equipment.
- Serve as the primary point of contact with the USAID Mission and the MOH for MRA digital health related activities.
- Support the development and validation of innovative digital tools to improve malaria programming workflow processes such as supportive supervision, case management community based surveillance and over all HMIS structures and systems. Support the integration and interoperability of selected systems (e.g., specifically the DHIS2 based HMIS, community reporting systems and logistic information system) as needed.
- Assist in making arrangements for office meetings and official events from time to time. Provide tea/coffee/refreshments to the staff and guests.
- Responsible for photocopying and binding of documents/reports as may be required by staff;
- Support the development and/or enhancement of data collection and use tools and systems such as online dashboards, computer assisted personal interviews etc. and train users on their use.
- Technically support the development of Electronic Data Capture (EDC) tools and systems and train users on their use
- Support the design and implementation of national HIS architecture and strategic plans with all parties at a national level.
- Contribute to the development of standard operating procedures and provide mentorship to MRA, districts, CSOS and MOH staff to improve data collection, data quality and use at each level of the health system.
- Work with the MRA country team and HQ team in the preparation of MRA annual work plans, quarterly reports and annual progress reports to the Mission.
- Ensure awareness of child safeguarding principles and guidelines and apply them in the day-to-day roles as s/he interacts with communities and children.
- Ensure promotion of safe child practices and mitigation, prevention, and reporting of violations of children to ensure compliance.
- Assist the HR & Admin Manager in ensuring minor maintenance/repair of office equipment, amenities.
- Assist in the inventory counts and ensure that all office equipment and amenities are fully tagged and documented.
- Assist in the receipt, verification of supplies, goods, and dispatches of incoming and outgoing goods.
- Manage office stationery stock, other office supplies and maintain stationery tracking sheet.
- Assist in filing and record keeping, stationery record and distribution of mail, stores reconciliations, stock counts.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in computer science, Information Technology, Digital media with advanced degree in I.T, MIS, MPH, MS, MA, other related fields such as health systems or health information is required;
- Eight years of hands-on experience in HMIS, DHIS2 implementation, disease surveillance, M&E, data quality assessments, digital health and related areas, with a health or related international NGO or bilateral/multilateral organization.
- Experience strengthening health information systems and digital health approaches in other countries, preferably in Africa;
- At least five years of hands-on experience in software development using JavaScript Frameworks like Angular, ReactJS, or any other web development frameworks, Python
- Proven experience in the development and operations of robust digital health solutions in a public health environment.
