This person shall be the manager of Freedom City mall, interacting with various mall users and stakeholders on a daily basis e.g., tenants, mall visitors, etc. Competencies in management and experience in property management are necessary. The Property Manager is fully accountable for all day-to-day property operations, overseeing and enhancing the value of the property. Good communication skills are important in this role as it involves a lot of interaction with various stakeholders.
Responsibilities
Financial:
1. Demonstrate ability to understand financial goals, operate asset in owners’ best interest.
2. Prepare annual budgets and income projections in a timely and accurate manner.
3. Ensure that all rents and late fees/check charges are collected, posted and deposited in a timely manner.
4. Generate necessary legal action, documents and process in accordance with National and Company guidelines.
5. Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance.
6. Ensure that accounts payable invoices are submitted to the corporate office for payment, handle petty cash and all funds.
Leasing:
1. Ensure property is rented to fullest capacity.
2. Meeting with prospective tenants.
3. Utilize marketing strategies to secure prospective tenants.
4. Confirm that leasing techniques are effective in obtaining closing.
5. Confirm that leasing staff gather information about market competition in the area and file.
6. Continually monitor and analyze traffic logs, conversion ratios, budget guidelines, renewal information, marketing data, etc., to be able to give up-to-date and proper information when requested by others.
7. Represent the company in a professional manner at all the times.
Administrative:
1. Prepare and/or implement procedures and systems within company guidelines to ensure orderly, efficient workflow.
2. Confirm all leases and corresponding paperwork are completed.
JOB DESCRIPTION
1. Ensure current tenant files are properly maintained.
2. Ensure all administrative paperwork is accurate, complete and submitted on a timely basis.
3. Lead emergency team for Property. Ensure proper response and handling of all Property emergencies with staff, tenants, other stakeholders etc. to minimize liabilities (i.e., criminal activity on Property, employee/Tenant injuries, fires, floods, freezes, etc.).
4. Meet with regulators, when necessary, e.g., local government reps on trading licenses and inspections, etc.
Tenant Retention:
1. Deal with Tenant concerns and requests on timely basis to ensure Tenant satisfaction with management.
2. Develop and/or implement Tenant retention programs.
3. Consistently implement policies of the Property.
Personnel Management:
1. Ensure efficiency of staff and service providers.
2. Plan service provider schedules and assignments.
3. Provide support to staff to encourage teamwork and lead as an example in creating a harmonious environment.
Maintenance:
1. Maintain Property appearance and ensure repairs are noted and completed on timely basis. This requires regular Property inspections and tours.
2. Assure quality and quantity of market ready spaces.
3. Ensure that models and market ready apartments are walked regularly and communicate any service-related needs to maintenance.
4. Ensure that all service requests are recorded and communicated appropriately to maintenance.
Safety:
1. Learn and ensure compliance with all company, local and national safety rules.
2. Ensure that unsafe conditions are corrected in a timely manner.
