Job Summary: The Front Desk Assistant is responsible for providing general office and administrative support functions, majorly receptionist, being the “face” of the Shiriki House Uganda to all visitors and clients, and supporting client relations and management to ensure SH client satisfaction. The main aim is to ensure effective SH operations and service delivery.
Key Duties and Responsibilities:
Front Desk
- Serve visitors by greeting, welcoming and directing them appropriately; notify company personnel and clients of visitor arrival.
- Sort and distribute incoming / outgoing correspondences such as parcels.
- Act as the initial point of contact for internal and external clients
SHUG administrative duties, operations and management
- Provide general administrative and clerical support, including scanning and copying
- Organize scheduled appointments, such as tracking of clients board room bookings
- Assist in the preparation of regularly scheduled reports – such as organizing reports in Excel.
- Support in the supervision of office cleaning.
- Ensure office and café supplies are replenished monthly
- Assist in sourcing quotations, analyze quotes, recommend preferred service providers, providing oversight to ensure timely and cost-effective delivery of services
- Maintain monthly procurement, requisition monitoring tools
- Maintain procurement, requisition, asset registration and similar monitoring tools on a monthly basis.
- Support repairs and maintenance of SH property and assets in a timely manner
SH client relations and management support
- Support maintenance of good relations and effective communications with clients through regular service-minded consultation to resolve any issues to client’s satisfaction
- Supporting in onboarding new clients by taking them on a Shiriki House tour and introducing them to other clients.
- Act as initial point of contact for client complaints and escalating issues as appropriate to the immediate supervisor.
Knowledge management
- Responsible for maintenance of client database on SharePoint
- Undertake any other tasks as assigned by supervisor.
Qualifications, Skills and Experience:
- The applicant must hold any relevant bachelors (Administration, Communications, Business Management, Social Work) degree
- Proven experience as front desk representative, agent or relevant position
- Familiarity with office machines (e.g. computer, projector, printer etc.)
- Knowledge of office management and basic bookkeeping
- Proficient in English (oral and written)
- Excellent knowledge of outlook – most preferably MS Office (especially Excel and Word)
- Strong communication and people skills
- Good organizational and multi-tasking abilities
- Problem-solving skills
- Customer service orientation
