Job purpose

• To coordinate academic matters in the key areas of Admissions, Curriculum Design, Training, Examinations and Academic Ceremonies in compliance with all relevant laws, while maintaining high professional standards.

Major duties & responsibilities
1. Planning
• Prepare the strategic and annual plans for the department
• Prepare the departmental annual work plans and budgets in line with ITC policies and guidelines
Develop the relevant policies & guidelines to support processes and activities in academic administration.

2. Management of Academic Programmes
• Oversee the development, management and periodic reviews of the curriculum of certified programmes.
• Ensure all academic programmes of the College are accredited with the NCHE and periodically reviewed as required.
• Oversee the recruitment of teaching staff for the certified programmes.
• Draw out teaching schedules for all certified programmes of the College and ensure teaching materials needed are adequately provided.
• Coordinate academic workshops to promote academic research and community service among the teaching staff.
• Enforce Quality assurance activities in the teaching processes at the College.

3. Preparation and Moderation of the Examination Questions
• Develop examination schedules and recommend for appointment internal and external examiners to set examination questions.
• Create a question bank from which exams are drawn in collaboration with the lecturers and trainers.
• Oversee the proper handling and safe custody of the examination scripts.
• Ensure timely production of the completed students’ academic transcripts and certificates.

4. Coordination of Examinations at designated centres
• Appoint a team of invigilators to supervise the exams at designated examination centres.
• Monitor and ensure integrity is upheld at all times at the different examination centres.

5. Processing of Results for Approval
• Appoint a team of the examiners to mark the students’ examination scripts.
• Consolidate the results and submit them to the principal for approval.
• Release results to the students and sponsors on time as per schedule.

6. Admission of Students
• Oversee the processes of enrolment & admission of all students on the various programmes of the College.
• Ensure adherence to NCHE standards in the admissions criteria.
• Oversee the design of adverts of ITC courses and ensure that they are published in media by the responsible personnel.
• Oversee the design, production and procurement of promotion and admission materials and ensuring that they are adequately stocked at all times.
• Provide periodic analysis of Admission trends and advise the principal on future student admission strategies.

7. Monitoring and Evaluation
• Monitor the quality of all academic processes in line with NCHE & ITC policies and guidelines.
• Periodically review and update all academic related policies and guidelines to maintain relevancy in accordance with the NCHE requirements.
• Benchmark with peer industries to learn new and best practices in academic management.

8. Staff Performance Management and Capacity Building
• Conduct periodic performance reviews for the departmental personnel in line with ITC policies and guidelines.
• Perform staff needs assessment within the department to ascertain skill gaps.
• Lead, motivate and coach/ train staff within the department to enhance their skills base and improve their overall performance.
• Oversee all preparatory activities that culminate into the College’s graduation ceremonies.
• Provide support to any Academic related committees of the College.

9. Reporting
• Prepare and submit reports as and when required.

Key performance indicators
• Departmental work plans and budgets in place.
• Confidentiality of students’ academic information.
• Quality assurance upheld in admissions, training & examinations processes.
• Growth in student admissions & revenue
• Growth in new academic programmes
• Adherence to NCHE & ITC policies & guidelines
• Timely reports prepared.

Requirement
Minimum Qualifications:

• Master’s degree in education, Management or related field from a recognized University.
• Professional Insurance Qualification – Diploma in Insurance (added adv)

Minimum Experience:
• Six years of relevant work experience, four (4) of which should have been served at a Managerial level in the education sector.
