Mountains of the Moon University (MMU) is a Public University established under Statutory Instrument, Number 2 of 2022, hence a body corporate with perpetual succession and a Common Seal.
Job Summary: The Records Officer will facilitate creation, storage, easy retrieval and archival of documents.
Key Duties and Responsibilities:
- Ensures records and documents are properly coded and filed for easy reference.
- Ensures security of all records and documents.
- Tracks and makes available movement schedules for files.
- Maintaining and updating track schedules for opened and closed Files on a daily basis.
- Ensures proper maintenance and filing of records and documents.
- Ensures appropriate compartmentalization of files, record and documents in the registry.
- Receives, creates and manages an inventory of files, records and documents.
- Participates in the design and implementation of an online registry and the overall registry re-organization.
- Ensures systematic weeding of documents in accordance with the law, regulations and guidelines.
- Maintains an efficient and properly documented archive for easy access and retrieval of records.
Key Outputs
- Correspondences received, registered and classified.
- Records and documents are safely stored and are easily retrieved.
- Records and registers audited.
- Registry properly organized.
- Correspondences routed to responsible officers
- Disposal and archival scheduled properly kept.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in Records Management or Bachelor in Library Science.
- Should have a working experience in records management of four years.
- Should have good problem-solving and analytical skills.
- Should have good organizational skills.
- Should have good communication and influencing skills, especially when requiring colleagues to hand over records or to use the systems correctly.
- Should be confidence with using bespoke and standard databases, software and operating
