Job Summary: Responsible for supporting the Head of Legal and Company Secretary and Legal Officer in ensuring a sound legal framework for UGAFODE (MDI) through offering support and administrative legal services on the management and custody of collateral the institution and other legal record documentation so as to enable the business to achieve its revenue and growth objectives within the framework of the law and annual operating plans.
Key Duties and Responsibilities:
- Handling the custody of collateral at head office: Handle the movement of collateral in and out of the strong room ensuring every movement is registered, ensure securities are kept safe and secure, file, and organize collateral for easy tracking and retrieval, annual stock taking of security and returning securities and organizing of securities in the strong room
- Registering and updating security movement at head office: Registering and updating securities into the registry books, Updating the soft copy of the securities register (excel sheet), Uploading and updating securities on security tracking system or folders (absence of active security tracking system)
- Release of collateral at head office: Receive and ensure that the proper and correct information is provided, prepare the release letters and accompanying documentation for signing, retrieving the collateral and updating the registers., dispatch the collateral to the client/ branches and ensure receipt of the same
- Assisting in Security Perfection: Following up with branches on outstanding balances on security perfection ledger, preparing documents for security perfection and ensuring copies of collateral are kept before dispatch, filing documents and collateral returned from security perfection for easy tracking
- Preparing Instruction and search letters: Preparing the necessary documents for the search and perfection, processing fees, following up with the letters and providing my supervisors with feedback accordingly, processing the facilitation fees accordingly.
- Tracking Insurance Policies: Follow up to ensure all log books pledged have comprehensive Insurance/ waivers. Update and track the expiry of all Comprehensive Insurance policies and inform Credit accordingly for renewal.
- Documentation & filing: Manages the development and maintenance of an update repository of laws, judgements, contracts precedents and related legal materials in respect of the institution’s business operations.
Qualifications, Skills and Experience:
- At least a bachelor’s degree from a recognized University or equivalent & certification in Administrative Law is highly desired.
- A Minimum of 6 months’ experience in records management.
- Excellent Customer Care skills & Proficiency in the use of Microsoft Office Suite.
- Sound grasp of the risks associated with management and custody of securities.
- Highly analytical and attentive to detail combined with an ability to think laterally and holistically.
- High level of integrity, confidentiality and organization.
- Solution-focused, flexible thinker with a strong “can do” attitude.
