Job Summary: The Private Secretary will be responsible for performing various routine office work, Sending and receiving letters filling indexing, preserving important papers and documents taking dictations, composing them on the computer, and acting as the mouthpiece and liaison officer of the SVP. The PS will attend to guests and visitors and conducts correspondences, and perform various activities related to meetings in the SVP’s office, including preparation and distribution of notice and agenda of the meeting arranging and decorating the meeting place; assisting the SVP in conducting the meeting sessions, writing the minutes of the meeting, e.t.c; responsible for maintaining accounts of personal income and expenditure bank accounts, etc. Arrange the daily work and tour schedule including accompanying the SVP on his official tour. Other functions will include running other SVPs’ personal errands.
Key Duties and Responsibilities:
- Maintaining a high-level overview of the SVP’s work, proactively identifying problems and resolving them with teams;
- Providing high-quality, efficient, and effective support to the SVP across his duties, and making the best use of time in line with the SVP’s work priorities;
- Building strong working relations between the SVP’s office and Private Offices, other parts of his businesses and departments to enable effective working between him and other senior leaders;
- Supporting the SVP internal communications and external stakeholder engagement; coordinating briefings, submissions, and papers; liaising with teams and ensuring constructive engagement with the SVP appropriately in the preparation of his work;
- Supporting business planning, financial, and HR processes to ensure deadlines are met;
- In charge of planning and organizing SVP’s events for both IPC4SD and with external stakeholders
- Line management of the Diary;
- Preparation of presentations on behalf of the SVP.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in relevant fields such as Human resources, Business Administration,
- Project Planning and Management, secretarial studies and ICT e.t.c.
- Relevant experience is an added advantage.
